2. What Personal Information We Collect

B. 5000 Women Survey
- Your answers: your symptoms, your treatment and your experience of care, optional questions about your background, and free-text boxes where you write in your own words. We do not ask your name.
- Email (optional, separate table): if you choose to give one — email, first name and your consent choices. Kept in a different table from your answers, and we do not link the two.
- Campaign source: which campaign or channel brought you to the site, so we can see where responses come from. Nothing that identifies your visit.

G. More about the 5000 Women survey
Your answers save as you go. They are sent to our servers while you are
answering, not only when you press submit, so you do not lose them if something
interrupts you. If you stop part-way through, the answers you have already given are
kept.
We do not ask your name, and the email is optional. Answers are stored
with no name and no email attached. If you give us an email it is stored in a separate
table, and we do not join the two.
Once you submit, we cannot find your response again. Because we do not
know which answers are yours, we cannot retrieve, correct or delete a submitted
response. This is the trade-off that makes the survey genuinely anonymous. If you would
like a part-finished response removed before you submit, email
info@menodirectory.com and we will remove it.
We do not run analytics, advertising or session-recording tools on the survey.
If we publish quotes from what people write in the free-text boxes, they
are short, they never carry a name, and we remove anything that could identify the
person who wrote them or any practitioner they mention.
3. Why We Collect This Data
- Emails: To send you updates about new clinics, products, and health information
- Survey responses: To understand women's menopause experiences and identify gaps in care
- Waitlist: To notify you when hormone testing launches
- Feedback: To improve Meno Directory
- Submissions: To review and verify clinic and product listings
- Chat history: To provide answers (never stored after your session ends)
4. How We Protect Your Data
- Encryption: All data in transit uses HTTPS/TLS encryption
- Access control: Only Meno Directory staff and authorized support staff can access your personal data
- Secure storage: Data stored on Supabase (AWS-backed) with industry-standard security
- No sharing: We never sell, trade, or share your personal information with third parties (except as required by law)
5. How Long We Keep Your Data
- Email subscribers: Until you unsubscribe or 24 months of inactivity (no opens/clicks)
- Completed survey responses: kept for research. They carry no name and no email, and we cannot identify whose they are.
- Part-finished survey responses: kept while the survey is running, so we can see where people stop. Email us before you submit and we will remove yours.
- Survey emails: until you unsubscribe or ask us to delete them
- Waitlist: Until hormone testing launches or 12 months, whichever is earlier
- Feedback: 12 months then deleted
- Submission data: Until listing is approved/rejected (max 30 days) then archived
- Chat history: Deleted immediately (not persisted)
Your Right to Delete: You can unsubscribe and request deletion of your data anytime by emailing
info@menodirectory.com. We'll process your request within 30 days.
6. Your Rights
Right to Access
You can request a copy of all personal information we hold about you. Email info@menodirectory.com with "Data access request" and we'll respond within 30 days.
Right to Correct
If your data is inaccurate, you can request we correct it.
Right to Delete
You can request deletion of your personal data. We'll honor this within 30 days, except where we're legally required to keep records.
Right to Unsubscribe
All emails include an "Unsubscribe" link. You can also email info@menodirectory.com to unsubscribe from all communications.
7. Cookies & Tracking
We use minimal cookies:
- Session storage: Tracks your survey progress (cleared when you close the browser)
- Product upvotes: Remembers which products you've voted on (browser storage only)
- Analytics: we do not currently run any third-party analytics, advertising, heatmap or session-recording tools on this site. If that changes, this policy will say so before it does, and it will never apply to the 5000 Women survey.
8. Third Parties
Supabase: Your data is stored on Supabase. Supabase is bound by their own privacy policy and security standards. See Supabase Privacy Policy.
Vercel: The website is hosted on Vercel. See Vercel Privacy Policy.
Claude AI: Ask Meno AI uses Claude API to answer questions. Your questions may be processed by Anthropic. See Anthropic Privacy Policy.
We do not otherwise share your data with third parties.
9. Security Breach Notification
If we discover a data breach that impacts your personal information, we will:
- Assess it promptly, and in any case within 30 days, to establish whether your information is affected
- Notify you and the Office of the Australian Information Commissioner (OAIC) as soon as practicable once we have reasonable grounds to believe a notifiable breach has occurred — not at the end of that assessment period
- Explain what happened and what steps you should take

Meno Directory complies with:
- Privacy Act 1988 (Cth) and Australian Privacy Principles (APPs)
- Notifiable Data Breaches Scheme (mandatory breach notification)
- GDPR (for users in the EU)
- Spam Act 2003 (no unsolicited marketing; unsubscribe available)
11. Children & Minors
Meno Directory is intended for women 18+. We do not knowingly collect data from minors. If you believe a minor has provided information, please contact us immediately.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We'll notify you of material changes by email or by posting a notice on the website.
